Why did NEAF end early????

Hi,
I came from Brooklyn to NEAF (1.5 hr drive). I left right after I finished work and got there at 4:15p.m. Granted that that is late but i couldnt come sooner. The advertised time was until 6:00p.m. At 5:p.m. they announed that NEAF 2013 was over. I got a total of 45 minutes, and for the last 20 minutes or so the vendors were packing up.
Needless to say I wasn't thrilled. For 25 minutes (pack up time doesn't count) I wouldn't have traveled for 1.5 hours.

Hmmm... 4:15pm is a bit late as some vendors have a long journey home, but understand your frustration.

I hope you got in for free at that time of day.

For some reason they did close early and had the raffle at 5pm instead of the advertised 6pm.

at 2pm it seemed some vendors were starting to pack it up quietly. and William Optics by that time, only had one scope on the floor.

so I'll blame WO for everyone packing it up early. :grin:

It did NOT end early. NO vendor or volunteer, including the Show Managers were allowed to leave till 5PM at the latest on Sunday. Saturday, we were open till 6PM. NO vendors would have even considered leaving at that point. I know because I was there 12 hours both days!!
Also, if you read the web site, any online or printed material about the show, they all say the show ends at 5PM on Sunday. Vendors may have been packing up, but most due late in the day, just like thay have for 22 years.
Sorry you couldn't get there any sooner...

Im sorry but the flyers that I got clearly state that the hours on SUNDAY are for 10a.m.-6p.m. it also states so on the NEAF website.

I too have the flyer and the website says 10-6 on Sunday.

I agree with the OP. Even though he got a discounted entry ticket, if the hours say to 6PM, suppliers should be allowed only to pack up at 6:01. I went to buy a t shirt at 5:20, and the guy was rude and barely had time to pay attention to a sale. Oh well. Once the 6:00 raffle went off at 5 instead of 6, most people figured it was over for them, and started to leave. No customers to suppliers, means no sales, so it time to leave. Even the NEAF table was being broken down way before 6. I feel gyped out of that last hour too. I'm sure NEAF have gotten a lot of 'input', and this should be corrected next year. BTW, next year will be the best NEAF ever!

Around 2pm on Sunday I was reminded by somebody in the know that I had to be present at 6 pm for the raffle. This was the same info I was told on Saturday. I left after 4pm on Sunday and came back at 5:15pm to be refused entry. I ran into other people who were confused.

The need for vendors to start packing up is due to the facility needing them out so they can get on with their Monday activities. The out time for the last three years has been 9:00 PM. Out as in tables, vendors, electrical, everything back to the way it was before we showed up. It isn't possible to start packing 240 tables up and get everyone out before the 9:00 time frame unless we start packing things up at 3 or 4 really.

I don't disagree with that in the slightest. I was referring to the vendors not being able to pack up until 6:01. That just isn't really possible. For example last year we had to pack up at 3:00 because we had a flight out Sunday night at 7:00 from Newark. There can't be a hard and fast break down rule.

I came from Queens and remember reading on the website that closing time was 6pm on Saturday and 5pm on Sunday. I left at 12:30 on Sunday and debated whether I should go. I didn't expect the vendors to be selling hardcore at 5. At the end of a show everyone is exhausted. They probably worked very hard to get ready, ship their wares, travel. I wouldn't dream of getting there with less than 2 hours of "show time" and expect vendors to be fresh and cheerie, but that's just me. Sorry the OP was dissapointed, don't worry next year will be the "best NEAF ever"!! :lol:

It wasn't just that venders packed up early at 5 PM. There were announcements on the PA that the floor was closing at 5.

I had fully planned to keep the booth open until 6. However after the announcement we started breaking down. By 6 many of the booth were totally dismantled.

If I recall this same thing happened last year. They announcement of the show's closing came before the advertised closing time.

I will probably get flamed for this but having been to various trade shows, and having worked in various trade shows, this is pretty much how it is everywhere.

You should never go to a trade show the last hour. Sorry - the vendors are tired and crabby and anxious to start on their long hard job of packing up, and quite frankly you are kidding yourself if you think you will have the same sort of experience as when the show opens.

Hate to be the bearer of the truth, but that's just how it goes.

I was surprised at the 5pm closing as well. A few of us had the conversation over breakfast as to whether NEAF was closing at 5 or 6. The consensus was ultimately 6, so we were caught off guard when the 5pm closing came. We weren't disappointed, as we had a long ride home, and traffic had slowed considerably. However, I can understand how one would feel frustrated in your shoes, OP.

We apologise profusely for any misprints or misunderstandings on the web site or some of the printed material. Many were misprinted with the wrong closing time.

Actual NEAF closing time was supposed to be 5PM on Sunday. All the signs at the front, posted at the booth, and at the Galaxy Theater stated this. The ending time was also announced regularly during the day.
NEAF has always historically ended earlier on Sunday than on Saturday and has always done so .
If the web site or other printed material said different, it did so in error. This "mistake" will be remedied in the future.

Technically we do keep the show open till 6PM on Sunday, but the RCC Field House MUST be vacated by 9PM. A HUGE task. So break downs start earlier.

Please remember, NEAF is organized, managed and run by volunteers. We all have regular jobs and receive no salary or payment for the time and energy we put into the show.
The amount of time is enormous...measures in the thousands of man hours. All for the benefit of all astronomers and the general public.

After deferring the enormous cost to run the show, all profits go for: Childrens and Adult Astronomy and Space programs, Public star parties, telescope donations, and scholarships. And this is the short list....there are others.

Your attendance is very appreciated because it enables us do all the good work done by our club to spread the science and hobby of Astronomy to the general public.

I'm just wondering, why not officially close NEAF at 3PM on Sunday? More generally, why not close all Astro-Trade shows early enough to allow the vendors enough time to pack and leave?

Break down is done by vendors, not the NEAF staff.
Some vendors start this process earlier than others. However, none are allowed to leave till after closing, so many still do business till the end.

I bet that if you showed up at 5:10 PM on Sunday with $10,000 in cash to spend, those “crabby and tired” vendors would have a big smile on their faces and open up what ever you wanted that they had packed up! :smirk:

I understand there may be some glitches in running a show this large, but regardless RAC deserves both thanks and appreciation as this show was set up and organized by VOLUNTEERS. This was my first NEAF after wanting to go for a number of years. I was thrilled with the show, the attendance was great on Saturday (the day I went) I got there at 10 am and left at 3PM. I got all the things I needed and some of the things I wanted. I met some really nice people there at the solar star party. I got to meet some of the people who I deal with over the phone at vendors I frequent and now we both can put a name with the face. I got to see some really cool new scopes and eyepieces as well as aids I will be saving for over the next few months to make observing better and more rewarding.

So thanks RAC, I look forward to NEAF next year and just have someone proof read the ads a little more carefully next year, Heck if you want, I'll volunteer to proof read the literature.... :waytogo:
